TuscALERT to Unite Regional First Responders to Provide Near Real-Time, Critical Safety Information

TuscALERT builds on Everbridge’s strong presence in the State of Alabama, providing critical weather and emergency information to residents and businesses in the City of Tuscaloosa, the City of Northport, Tuscaloosa County and Tuscaloosa County Emergency Management Agency (EMA). The Everbridge critical event management platform will help unite the activities of first responders in these locales in order to improve emergency coordination and preparation, as well as engagement with residents and visitors.
By registering with TuscALERT, area residents and employees can receive time-sensitive text messages, e-mails or voice messages from the county or city in which they live or work. During critical situations, such as tornados, public officials can issue messages through multiple available communications channels -- including phone, SMS and social media – to ensure they have the best chance of reaching the affected population in near real-time, creating a “network” around the use of the same platform. Everbridge Research Finds Communication Challenges Cause Errors in Majority of Emergency Department Patient Care Hand Offs

BURLINGTON, Mass.--(BUSINESS WIRE)--Everbridge, Inc. (EVBG), a global software company that provides critical communications and enterprise safety applications to help keep people safe and businesses running, today announced the findings of its research into the communications challenges that emergency room employees face every day in our nation’s hospitals and medical facilities. Entitled “Care Communication Gaps in U.S. Hospital Emergency Departments,” the report polled 158 emergency department employees about the communication challenges that arise when coordinating patient care from one doctor/nurse/practitioner to another – and what technologies are most effective at accurately sharing patient care instructions. The results of the research will be highlighted at the HIMSS 2017 healthcare IT conference, taking place from February 19-23, 2017, in Orlando, FL.

A majority of emergency room employees reported that more than 10 percent of patient care hand offs contain communication errors – errors that could endanger patient care outcomes; 22 percent reported that more than 1 in 5 hand offs involve errors. Hand offs occur more often in emergency rooms because the care teams needed to treat patients are larger than for the rest of the hospital. For example, in order to manage a stroke patient, an average care team might involve 12-15 doctors, nurses and staff members spread out inside and potentially outside the hospital. With 59 percent of emergency departments reporting more hand offs to other care team members than for treatments originating elsewhere in the hospital, it is easy to see how these errors could happen.

Emergency room staff also reported which types of communication they found the most effective – and which types were the least effective. Real-time, face-to-face communication was the most used and the most effective, as it is the one method of communication where both parties can be sure the information was delivered and received correctly. However, with distributed teams and physicians often not onsite, the ability to have a face-to-face conversation is often not possible, forcing staff to find other ways to hand off patient care information and responsibilities. 94 percent of respondents still use landline phones to share information – but those were only considered effective if the caller avoided voicemail and spoke with a colleague live; 30 percent rated voicemail as the least effective form of communication.

The research also indicated that there may be a light at the end of the tunnel: the use of mobile technologies, especially the staff’s own devices, is growing, with 76 percent of physicians and 45 percent of clinical staff able to use personal devices. Despite not cracking the top three most used communication methods, secure text messaging (by 80 percent of respondents) and mobile phone (by 79 percent) were considered the next two most effective forms of communication behind face-to-face discussions.

With the growing acceptance of mobile technologies in emergency departments, there is an excellent opportunity to make co-worker communications more efficient and effective – reducing the potential for errors that could affect patient care.”

Additional key findings include:

Emergency Room Teams are Large – and Patient Care is Handed Off More Often

  • A majority of respondents (61 percent) reported their emergency departments have more staff than other parts of the hospital or facility.
  • More than half (59 percent) shared that there are more patient care hand offs in the emergency department than in other areas of the hospital. A patient care hand off is when an attending doctor/nurse/practitioner has to update another doctor/nurse/practitioner in the facility about a current patient’s care or recommended care. This can happen for many reasons, including the patient being referred to a specialist, or coming out of critical care, or because a shift is ending.

Communication Errors Happen During Hand Offs, Endangering Patient Care

  • A majority of emergency room employees felt that more than 10 percent of patient care hand offs contain errors.
  • In fact, 22 percent felt that some 21-45 percent of patient care hand offs included errors that could be traced back to communication failures.
  • With so many different communication methods needing to be juggled by emergency department employees, it is easy to see where inefficiencies could affect patient care.

Patient Care Communication During Care Team Hand Offs Have Multiple Challenges

  • Waiting for physicians to respond to hand off requests was the most cited challenge (23 percent - 32 percent report waiting for a physician or specialist). This was followed by difficulties deciphering handwritten information (28 percent), incomplete information (21 percent), or delays receiving information like test results (19 percent).
  • Currently, the most used methods of communication by emergency department staff are face-to-face discussions (94 percent), landline telephones (94 percent) and electronic medical records (EMR)/electronic health records (EHR) (87 percent).
  • There is no “best” way to contact colleagues that is considered efficient and effective. A whopping 89 percent of emergency room staff are forced to use 5 or more different channels to communicate with co-workers about patients.

Some Channels are More Effective than Others

  • Emergency department staff felt that the most effective forms of communicating with co-workers about patient care were real-time communications, including face-to-face discussions (82 percent), secure text messaging (80 percent) and mobile phone conversations (79 percent).
  • The least effective forms of communication were delayed methods, including voicemail (30 percent rated it poor), pagers (29 percent) and faxes (24 percent).
  • While landline telephones remained a popular form of communicating with co-workers, they were only considered effective if you avoided voicemail and spoke with a colleague live.

Personal Mobile Technology Use is Growing Among Emergency Departments

  • 75 percent of emergency department care teams are using mobile phones, while 49 percent use secure messaging that enables mobile real-time communications for care coordination.
  • An increasing amount of emergency department staff are being allowed to use personal mobile devices to communicate with co-workers in the workplace. 76 percent of physicians and 45 percent of clinical staff can use them in the emergency department.

Given the outdated and inefficient communication technologies that many emergency department staff still deal with daily, the promise of using personal devices to communicate and improve patient care hand offs is great. In fact, 76 percent felt personal mobile devices would have a positive impact on patient care.

Everbridge Survey: Lack of Automation Hinders Speed of Response to IT Outages and Incidents

IT Downtime Costs Companies $8,662 Per Minute – and it Takes 27 Minutes to Assemble an Incident Response Team

BURLINGTON, Mass., December 21, 2016 —Everbridge, a global enterprise software company that provides applications which automate the delivery of critical information to help keep people safe and businesses running, today announced the findings of its 2016 State of IT Management survey. The research report polled 152 IT professionals to measure how often significant outages occur, how quickly their organizations can respond, and the cost of IT downtime.

While most companies have automated service management, with greater than 90 percent of companies reporting that they have an IT Service Management system (ITSM), only 11 percent of companies stated that they have automated the process for organizing their response to IT outages and incidents. This finding is significant because 47 percent of companies reported having a major IT incident at least 6 times a year, the average cost of downtime is $8,662 per minute, and companies take 27 minutes on average to assemble an IT response team. Everbridge’s experience with customers who have automated the IT response process shows that companies could reduce this average time to 5 minutes or less, saving an average of $190,000 per major IT incident and significantly improving worker productivity.

Key findings from the research include:

Most Companies Have an ITSM or Ticketing System:
  • Over 90 percent of companies reported using an ITSM or ticketing system. The two most commonly used were ServiceNow (26 percent) and BMC Remedy (20 percent).
Major IT Outages or Incidents Occur Quite Frequently:
  • 47 percent of companies experience a major IT outage or incident six times or more a year; 36 percent experience them close to monthly (11 or more times per year). More than a quarter of respondents reported that their companies experienced more than 21 incidents last year—that’s close to two per month. Only 9 percent of respondents reported that their organization did not report a major IT outage or incident in the past year.
  • The most common sources of incidents are network outages (experienced by 61 percent of companies), hardware failure or capacity issues (58 percent), internal business application issues (51 percent), and unplanned maintenance (41 percent).
Responding to IT Outages and Incidents is Complicated and Too Manual
  • Two thirds (66 percent) of companies have distributed IT organizations with people spread among multiple locations and multiple time zones.
  • 39 percent have more than 25 people included in their IT response teams; 28 percent have more than 50 people who need to be coordinated to respond to an incident; 16 percent have more than 100 people.
  • 43 percent of respondents reported that at least part of their process relies on manually calling and reaching out to people to activate the incident response team. Only 11 percent reported using an IT alerting tool to automate the process.
Response Times Could be Significantly Reduced by Automation
  • The mean time to activate and assemble a response team was cited as 27 minutes. Automated solutions can reduce this response time to 5 minutes or less.
IT downtime is Expensive and Hurts Productivity
  • The average cost of IT downtime was reported as $8,622 per minute.
  • 63 percent of respondents stated that IT incidents or outages hurt employee productivity, 60 percent that they caused IT team disruption or distraction, and 34 percent that they decreased customer satisfaction. 13 percent reported that their organization had experienced bad press or publicity due to an IT incident or outage.

New Emergency Communications Research from Everbridge and Business Continuity Institute Reveals Many Companies Still Unprepared for Location-Based Security Incidents

Third Annual Emergency Communications Report Indicates Need for Companies to Approach Critical Event Management from a Global, Location-Aware Standpoint

The research found that a large percentage of organizations have an emergency communication plan, and that it is used across multiple departments. However, it also indicates that organizations take too long to implement their plans, need to be prepared to incorporate traveling and mobile employees and are far less prepared to handle location-based incidents, such as workplace violence and terrorism, where knowing which employees are in, or near, a place of danger is critical. Some key findings include: Key Finding: The majority of organizations have an emergency communication plan, and use it across departments:
  • 84 percent of organizations report having an emergency communications plan.
  • Plans are used across departments and the most common triggers for emergency communications are unplanned IT and telecommunication outages (42 percent), power outages (40 percent), adverse weather (39 percent), facilities management incidents (23 percent), cybersecurity incidents (22 percent) and natural disasters (22 percent).
Key Finding: Employees are less likely to be confined to a single physical location – and critical event management plans need to reflect this growing reality:
  • 1 out of 3 organizations (32 percent) have more than 100 employees who travel internationally.
  • 32 percent of organizations have staff traveling in “high risk” areas of the world.
Key Finding: Over 60 percent of businesses are not prepared for location-specific events, such as workplace violence or terrorism:
  • 30 percent have no communications plan in place to communicate with employees during workplace violence or terrorism.
  • 56 percent are not confident in their preparation for workplace violence or terrorist incidents, and only 6 percent are “very much prepared.”
  • 65 percent felt that simply locating people who may be in an impacted building was their biggest challenge in a workplace violence or terrorism situation; 76 percent indicated that the ability to communicate with those people and confirm their safety was a major concern.
Key Finding: Businesses are not fully prepared to facilitate communications during crisis situations:
  • 29 percent do not have emergency/crisis communications training and education programs.
  • It takes too long for organizations to respond to an incident even though speed is critical in many types of incidents. 26 percent of organizations said it takes more than 30 minutes to activate their emergency communications plan; 12 percent take an hour or more. Only 24 percent activate their plan in less than 5 minutes.
  • Of the 16 percent of organizations that do not have an emergency communications plan, 64 percent said they would only consider putting a plan in place after a business-affecting event.
Key Finding: Organizations utilize multiple communication channels to improve the reliability of getting information to employees:
  • More than half of organizations (55 percent) use three or more methods to communicate with employees during an incident. Email and text messaging are the two most common modes; 56 percent said they still use manual call trees.

Survey: Businesses Overwhelmingly Concerned About Active Shooters in the Workplace, But Are Unprepared for Them

Despite Two-Thirds of Organizations Naming Active Shooter as a Top Threat, 79 Percent Are Not Fully Prepared – and More Than 60 Percent Run No Readiness Drills

BURLINGTON, Mass.--(BUSINESS WIRE)--Everbridge, a global enterprise software company that provides applications which automate the delivery of critical information to help keep people safe and businesses running, and Emergency Management and Safety (EMS) Solutions, a provider of professional consulting services in the area of incident management, business continuity planning and exercise design, today announced the findings of recently completed research into organizations’ safety communications plans and their ability to manage a potential active shooter situation. The research surveyed security and emergency management leaders at 888 organizations, with a focus on companies with greater than 500 employees. Respondents were overwhelmingly concerned about violent acts – such as active shooter situations – taking place at their company or organization. Despite that worry, a majority of respondents also said that they were not properly prepared for an active shooter situation, highlighting communication to affected employees and individuals as one of the major issues. “The results of this study underscore a very disturbing trend. While an active-shooter scenario is every company’s nightmare, few organizations are prepared to effectively manage the situation,” said Regina Phelps, Founder, EMS Solutions. “Companies need to move beyond fear into action, take clear steps to prevent an attack from happening and also be prepared if it does.” Key findings of the research include:
  • 69 percent of organizations view an active shooter incident as a potential top threat. Workplace violence also was cited as a top threat by 62 percent.
  • An overwhelming 79 percent replied that their organizations were not fully prepared for an active shooter incident.
  • Communicating with and confirming the safety of those in an impacted building were seen as the biggest challenges during an active shooter situation by 71 percent of organizations. Despite that, 39 percent still said they didn’t have a communications plan in place.
  • 61 percent do not run any active shooter preparedness drills at all.
  • 73 percent said that employees or students are willing to exchange some aspects of privacy for enhanced security.
The results of the research can be grouped under three major themes:
  • Companies Are Concerned About Violent Acts In The Workplace

Three of the top five threats that companies are preparing for are active shooter situations (69 percent), workplace violence (62 percent) and terrorism (38 percent). In addition, 79 percent of executives and leaders are more concerned about employee or student safety than they were two years ago.

  • Communication During Critical Events Is A Major Challenge

71 percent of security leaders believe that communicating to impacted individuals is their biggest challenge during an active shooter situation. This is followed by the challenge of locating people who may be in an impacted building or facility (55 percent). In order to be properly prepared, companies must have a communications plan in place.

Almost all respondents (94 percent) agreed on the importance of having a method for employees and students to easily report information back to safety officials during an incident.

  • Despite Recognizing Violent Acts As Top Threats, Companies Are Still Unprepared

While respondents reported that they understood the threat of violent acts – and the need for communication channels to be in place – many remain unprepared.

39 percent don’t have a communications plan in place for active shooter events – and essentially the same margin (44 percent) don’t have a plan to communicate and escalate alerts to those most likely to be impacted. A majority of respondents (61 percent) do not run any active shooter preparedness drills, further showing how unprepared they are for potential incidents.

Respondents were asked how prepared they felt they were for an active shooter event – and only 21 percent felt that they were ready. 79 percent replied that their organizations were – at best – somewhat prepared for an active shooter incident. Even among those who felt prepared, only 7 percent said they were “very much prepared.”

“Communication plans, education and practice are critical to being prepared for any emergency situation,” added Imad Mouline, CTO of Everbridge. “During an active shooter incident, it is imperative that organizations have a way to quickly and reliably locate individuals in harm’s way and share relevant information, such as instructions to either shelter-in-place or evacuate a particular part of a building. Everbridge Selected by Florida Division of Emergency Management to Develop New Statewide Emergency Notification System, ALERTFLORIDA

System to Provide Florida Residents, Businesses and Visitors with Location-Based, Event-Specific Life-Safety Messaging

BURLINGTON, Mass., April 21, 2016 Everbridgea global enterprise software company that provides applications which automate the delivery of critical information to help keep people safe and businesses running, today announced that the Florida Division of Emergency Management has selected Everbridge as the service provider for the development and implementation of AlertFlorida, a landmark initiative which will provide statewide emergency alert and notification services to Florida residents, businesses and visitors.

“Ensuring the safety of all Floridians is the Division’s top priority,” said FDEM Director Bryan W. Koon.  “The selection of Everbridge as the AlertFlorida vendor marks a milestone toward providing the State’s Emergency Managers with a standardized system to communicate critical emergency information to every resident, business and visitor in Florida.”

AlertFlorida services are currently being implemented in several counties during an initial phase, with additional deployment phases continuing throughout 2016. Each participating jurisdiction will be able to customize the categories of alerts available in their community through a local opt-in portal.  The system also will provide automated notifications of flash floods, tornados, and other watches and warnings issued by the National Weather Service.

AlertFlorida is expected to be the most comprehensive and coordinated statewide emergency notification program in the country.  Once fully deployed, users will be able to select their preferred language and methods for receiving alerts, including SMS text messaging, e-mail, voice calls, TDD/TTY messaging, and mobile device apps for AndroidTM, Apple® and Windows® mobile devices. The system will also allow users to post alerts to social media channels and will interface directly with existing broadcast-based alerting systems.

    From the Business Continutiy Institute: Communicating in a Crisis (Emergency Communications Report 2015)

    A newly published report from the Business Continuity Institute (BCI) has demonstrated the need for organizations to invest in an emergency communications plan by revealing that nearly two thirds of respondents (62%) to a global survey had activated their plan during the previous year. The urgency of emergency communications is further highlighted by over three quarters of those activations taking place within 30 minutes of an incident commencing.

    The Emergency Communications Report, supported by Everbridge, noted that over a quarter of emergency communications plans do not request a response when activated. This is a worrying statistic as, if an incident is important enough to justify the plan being activated, then surely it warrants knowing that the message has been received by the intended recipients.

    Further findings from the report include:

    • 14% of respondents reported that they do not have an emergency communications plan.
    • Of these which do not have an emergency communications plan, over two-thirds (68%) state they would only create one after a business affecting event.
    • Email is the primary method of communication used during an emergency with 83% claiming to use this, while 63% use manual call trees, 55% use emergency communication software, 55% use crisis telephone lines and 53% use website announcements
    • Over two-thirds of respondents noted that their organization has emergency communications training and education with regularly scheduled events.
    • Nearly three quarters of respondents (72%) stated that their plan is exercised at least once per year, with a further 16% stating it is done at last twice per year
    • Common triggers for activating the emergency communications plan include unplanned IT outages (50%), weather related incidents (49%), power outages (47%), natural disasters (45%) and fire (42%)
    • Over two-thirds of respondents (70%) use mobile communications in private messaging to staff.

     

    Patrick Alcantara, Research Associate at the BCI and author of the report, commented: “Reliable emergency communications saves lives and demonstrates how organizations approach their duty of care to their employees, customers and stakeholders. The survey results affirm that many organizations take this duty seriously and offer opportunities for further improvement. We thank Everbridge for supporting this study and sharing our goal of producing top-quality research that impacts practice.

While it’s refreshing to see that organizations are more actively developing plans, and using mobile as part of their strategy, there is still work to be done to ensure that communications are securely and reliably reaching employees and customers.

    The report concludes that top management buy-in and integration among different functional roles contribute to the successful embedding of emergency communications capability. Furthermore, organizations must focus on encouraging responses to emergency communications and this begins by defining acceptable response rates. This should be made easier as mobile communications are increasingly used by organizations as part of their emergency communications arrangements and technology has advanced so much so that this is a basic capability. Key to getting buy-in is education and training programmes which must be implemented as part of an overall holistic approach to continuity and resilience.
